RESPONSIBILITIES:

The incumbent will be responsible for, but not limited to, the following:

Adjustment on student accounts:

  • Adjust tuition and exam fees to that of the year of re-registration and examination to refund and give accurate account balances to students;
  • Adjust accounts of finalists three months before graduations dates to have accurate accounts mailed with graduation invitation letters; and
  • Perform quality control of tuition levies and review of students’ accounts after billing for billing of fees in the current year.

Student Accounts – Pay-outs and refunds to students:

  • Receive completed disbursement forms and supporting documents and execute quality control; and
  • Forward completed forms to SSC to schedule students’ payouts accordingly.

Terminations:

  • Audit and finalise accounts of terminated students in the month of receiving forms from Distance Education Administration;
  • Audit the account to levy the correct percentage of tuition fees on accounts of students who have received study material and levy a termination fee;
  • Refund to Fundi loans not utilised on fees;
  • Check termination forms for correctness of information such as name, address, course code, termination date as well as student number to ensure that the right student and programme are terminated; and
  • Sign and date termination forms to acknowledge correctness and send the original termination forms to Records.


Handing over of accounts to collections:

  • Hand over the accounts of students who have debit balances to Collections after they have discontinued or completed studies.

Service Delivery

  • Assist University clients and stakeholders timeously in a cordial and professional way.

General and Ad-hoc administration:

  • Debit remarked but failed modules through posts before the next examinations;
  • File financial documents and other related transactional documents;
  • Ensure that deposits made are on the students’ accounts; and
  • Perform ad-hoc tasks given from time to time by management.

MINIMUM REQUIREMENTS:

  • Relevant 3 years’ National Diploma or equivalent with Accounting as a subject; and
  • Two years’ experience in financial environment preferably in student administration.

REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):

  • Administration of distance education student accounts;
  • Student funding processes;
  • Financial systems e.g. PeopleSoft or equivalent ERP;
  • Analysis of transactions;
  • Financial administration;
  • Client service and enquiries;
  • Computer literacy (Microsoft packages);
  • Communication and negotiation;
  • Ability to work under pressure and meet deadlines;
  • Ability to pay attention to detail; and
  • Ability to meet deadlines.

ADDED ADVANTAGES AND PREFERENCES:

  • A degree in Finance or equivalent qualification with Accounting as a subject;
  • Three years’ experience in:
    • a financial environment or in a higher education environment;
    • administration of refunds and bursaries; and
    • the use of PeopleSoft or equivalent Enterprise Resource Planning (ERP) system.
