KEY PERFORMANCE AREAS

  • Customer Relations1.1. Facilitate communication of relevant information between TETA and Schools adopted by TETA;

    1.2. Resolve customer queries and complaints pertaining to TETA adopted schools;

    1.3. Facilitate approval of motivation to support adopted schools;

    1.4. Facilitate approval and sign off of MOUs for all adopted schools and other strategic stakeholders.

  • Finance Administration2.1 Ensure that payments are processed and submitted timeously;

    2.2 Follow up with Finance on payment claim submissions and provide proof of payments to adopted schools bursary holders;

    2.3 Manage all records and documents related to adopted schools projects;

    2.4 Validate documentation according to the contract deliverables and validation framework;

    2.5 Process tranche claims for payment for each bursary holder;

    2.6 Ensure that all learners bursary contract deliverables are captured on TETA required systems;

    2.7 Ensure that payments are processed timeously and followed up on with relevant bursary holders;

    2.8 Update learners on payments in line with approved contracts;

    2.9 Financial analysis (verification of stipends spent and reconciliation of accounts).

  • Contract Administrator3.1 Facilitate the delivery of support initiatives and products to schools;

    3.2 Monitor initiatives sponsored by TETA and other relevant stakeholders at Adopted Schools;

    3.3 Support the process of bursary application per school adopted by TETA;

    3.4 Draft bursary award letters and contracts for adopted schools bursary recipients;

    3.5 Support the recruitment, placement, monitoring, and payment of interns for TETA adopted.

  • Reporting4.1 Update adopted school projects report monthly;

    4.2 Update project status report for adopted school projects;

    4.3 Accurate capturing of contracts pertaining adopted school bursary holders on TETA systems;

    4.4 Prepare addendum requests where amendments need to be affected on learner bursary contracts;

    4.5 Ensure compliance with all relevant contract templates and procedures;

    4.6 Monitor each bursary learners contract approved by TETA;

    4.7 Manage the SPO Drive Structure in relation to adopted school bursary learners;

    4.8 Manage all adopted school bursary records and documents in line with TETA approved systems.

  • Office Administrator5.1 Assist TETA’s Graduate Management Officer on special initiatives pertaining to adopted schools;

    5.2 Coordinate travel arrangements and accommodation bookings for adopted school initiatives;

    5.3 Assist the Strategic Project and Stakeholder Relations manager pertaining to all initiatives for adopted schools.

    5.4 Support media, marketing and events associated with special projects.

  • Document Management

6.1 Assist with ensuring and maintaining an effective electronic and manual document management system for easy retrieval;

6.2 Records all incoming correspondences/ documents;

6.3 Managing and reviewing filing and office systems including data management.

MINIMUM REQUIREMENTS

  • Qualification and Experience
  • M+3 qualification in Project Management or relevant tertiary qualification;
  • Minimum of 4 years’ experience in Project Management, 2 years of which should be experience in stakeholder management and reporting;
  • Experience in a SETA or Public Sector environment preferable;
  • Willingness to travel and work overtime.

2. Knowledge and Skills

2.1 Knowledge and Understanding of:

  • Contracts and project administration;
  • Data analysis;
  • Filing systems – electronic and manual;
  • Office administration;
  • Stakeholder Relations Management;
  • Understanding of the most relevant systems presently being employed;
  • Ability to work under pressure and long hours at times;
  • The following legislations – Skills Development Act, Skills Development Levies Act, National Skills Development Plan, Public Finance Management Act, and South African Qualification Authority.2.2 Skills
  • Computer skills (MS Word, MS Excel, MS PowerPoint, MS Outlook);
  • Decision making skills;
  • Report writing skills;
  • Excellent communication (verbally & written) and facilitation skills.
